Background
Sustainability Lane is an annual event organised by Lane Cove Council as part of the wider Lane Cove Rotary Fair. The event promotes sustainable living through stalls and activities hosted by local community groups and businesses to showcase sustainable products and services which contribute to a more sustainable Lane Cove.
Call for Applications for Stallholders
Organisations have the opportunity to demonstrate their sustainable products and services to the Lane Cove community by becoming a stallholder at Sustainability Lane.
How to Apply
To apply for a stall, you will need to submit the following by Sunday 27th July 2025.
- Complete and sign the application form on the Lane Cove Council website
- A copy of your Public and Products Liability Insurance Certificate of Currency
- Evidence of your not-for-profit status (if you have selected for Council to waive the fee)
ALL required documentation must be submitted with your application (incomplete applications will not be considered). Please note that payment is not required until your application has been assessed.
Notification
Places are limited and stallholders will be selected with consideration of:
- The sustainability of the organisation and/or product/service
- Ability to engage visitors on the day. Interactive displays and activities are encouraged.
- Agreement to the terms and conditions outlined in the application form.
You will be notified of the outcome of your application no later than 15th August 2025.
Payment and Refunds
The cost for participating in Sustainability Lane is $250 inc GST.
Council may, at its discretion, waive the fee for charitable or non-profit organisations. Proof of charitable or non-profit status is required.
Successful applicants will be invoiced for the amount payable. Payment will be due within 5 business days of notification.
Payments can be made by the following methods:
- Invoice – an invoice will be created and emailed which includes Councils account information for direct transfer
- Pay in person at Lane Cove Civic Centre customer service counter
Refunds will not be provided under any circumstances, including adverse weather conditions.
Information Package
Stallholders will receive a full information pack in late September. This will include details of stall location, do’s and don’ts for stallholders, set-up and pack-down times; and relevant procedures for the day.
Stall details
All stallholders will be supplied with a covered 2.4m x 2.4m standard fete stall including tables on three sides. Please note stallholders are responsible for providing table cloths and chairs if required.
You can provide your own stall structure if you prefer. If you chose to provide your own stall, please indicate the size of the stall on your application.
What happens if it rains?
Sustainability Lane will go ahead in the event of light rain. If conditions are deemed unsafe to operate, Council will cancel the event. Unfortunately Council cannot offer refunds if the event is cancelled due to extreme weather. Please do not apply for a stall if you are not prepared to accept the risk of wet weather.
Stallholder Sustainability Requirements
It is important that stallholders actively attempt to reduce their impact on the environment. By participating in Sustainability Lane, stallholders agree to abide by the following:
- Promotional material should be printed on recycled paper
- Products and packaging are to be made of materials that can be reused, recycled or are compostable.
- No single use plastics, including bags (even those promoted as biodegradable), cutlery, straws, serving ware, giveaway prizes, balloons (note these are banned at all Council outdoor events)
- Consider displaying a copy of your organisation’s environmental commitment.
- All wastes are to be removed from site at the end of the event and separated into the different waste streams (general waste, cardboard/paper, recyclables).
Stallholder responsibility
The nominated stall holder will be responsible for ensuring compliance with all matters set out in this information document. Council maintains a non-political policy for all Sustainability Lane stalls and events and stallholders must comply with this policy. This policy has been put in place to ensure that the general public can easily differentiate whether Council is sponsoring an activity, or the actions are solely of the community.
Stallholders are not to promote political agendas. In the context of Sustainability Lane, this refers to a prohibition of any material relating to electioneering, for example political party logo, brochures etc. All materials must be issue based, not “party” aligned.
