Background
Sustainability Lane is an annual event organised by Lane Cove Council as part of the wider Lane Cove Rotary Fair. The event promotes sustainable living through stalls and activities hosted by local community groups and businesses to showcase sustainable products and services which contribute to a more sustainable Lane Cove.
Call for Applications for Stallholders
Organisations have the opportunity to demonstrate their sustainable products and services to the Lane Cove community by becoming a stallholder at Sustainability Lane.
How to Apply
To apply for a stall, you will need to complete the Stallholder Application Form by 11:59pm on Sunday 26 July 2026 which includes:
- Entering details of the activities you wish to promote at Sustainability Lane 2026;
- Providing a copy of your Public Liability Insurance / Certificate of Currency;
- Providing evidence of your not-for-profit status (if you have selected for Council to waive the stallholder fee).
ALL required documentation must be submitted with your application (incomplete applications will not be considered). Please note that payment is not required until your application has been assessed and approved
Notification
Places are limited and stallholders will be selected with consideration of:
- The sustainability of the organisation and/or product/service.
- Ability to engage visitors on the day. Interactive displays and activities are strongly encouraged.
- Agreement to the terms and conditions outlined in the application form.
You will be notified of the outcome of your application no later than 14 August 2026.
Payment and Refunds
The cost for participating in Sustainability Lane is $250 inc GST.
Council may, at its discretion, waive the fee for charitable or non-profit organisations. Proof of charitable or non-profit status is required.
Successful applicants will be invoiced for the amount payable. Payment will be due within 5 business days of notification.
Payments can be made by the following methods:
- Invoice – an invoice will be created and emailed which includes Councils account information for direct transfer
- Pay in person at Lane Cove Civic Centre customer service counter
Refunds will not be provided under any circumstances, including adverse weather conditions.
Stallholder Kick Off Call and Information Package
Stallholders will be required to attend a 1-hour "kick off call" on Microsoft Teams in August or September. In this call, Council staff will provide further information about the event and how to prepare. We will be looking for opportunities for collaboration between stallholders where appropriate and may link you with others running similar activities / promoting similar causes.
Stallholders will then receive a full information pack in September. This will include details of stall location, do’s and don’ts for stallholders, set-up and pack-down times, and relevant procedures for the day.
Stall details
All stallholders will be supplied with a covered 2.4m x 2.4m fete stall including two tables and one chair. Stallholders may request tablecloths be provided, or may bring their own.
Please note Council strongly prefers to provide stallholders a fete stall, however, if this significantly impacts your ability to deliver the activities you would like to, you may request to bring your own stall in this Application Form for Council's consideration.
What happens if it rains?
Sustainability Lane will go ahead in the event of light rain. If conditions are deemed unsafe to operate, Council will cancel the event. Unfortunately, Council cannot offer refunds if the event is cancelled due to extreme weather. Please do not apply for a stall if you are not prepared to accept the risk of wet weather.
Stallholder Sustainability Requirements
It is important that stallholders actively attempt to reduce their impact on the environment. We would like to deliver an event that is as waste-free as possible. By participating in Sustainability Lane, stallholders agree to abide by the following:
- Any promotional material should be printed on recycled paper
- No single-use products or single-use plastics are to be used by stallholders or distributed to the public, including bags (even those promoted as biodegradable), cutlery, straws, serving ware, giveaway prizes, or balloons (note these are banned at all Council outdoor events)
- Any necessary products and packaging are to be made of materials that can be reused, recycled, or are compostable
- All wastes are to be taken off-site at the end of the event and separated into the correct waste streams (general waste, cardboard/paper, co-mingled recyclables)
- Consider displaying a copy of your organisation's environmental commitment.
Stallholder responsibility
The nominated stallholder will be responsible for ensuring compliance with all matters set out in this information document. Council maintains a non-political policy for all Sustainability Lane activities, which has been put in place to ensure that the general public can easily differentiate whether Council is sponsoring an activity, or the actions are solely of the community. Stallholders are not to promote political agendas (e.g., any material relating to electioneering, political party logos, brochures etc). All materials must be issues-based, not “party” aligned.
